Job Purpose

Under the general supervision of the Director, Human Resource Management, the Records Officer will participate in the implementation, administration and maintenance of the College’s Records Management Programme and assist in guiding the ongoing operations of a cost-effective and efficient Records System, from creation to disposition.

Key Responsibility Areas include:

  • Works with the assigned Department to analyze information stored physically or electronically and assists them in developing storage solutions and systems
  • Research and recommend new technologies, development tools and methodologies that will allow the College to remain adaptive and maintain quality systems and procedures
  • Conducts Records Management training and briefings
  • Classifies and indexes records
  • Develops records series using the functional classification methodology
  • Reviews records retention schedules and Government recordkeeping requirements to determine timetables for transferring active records to inactive or archival storage and make recommendations
  • Reconciles and deletes indexing errors and anomalies, advises end users on procedures and content problems and ensures security and preservation of records in storage
  • Monitors and manages files on loan
  • Responds to requests for records, including the retrieval of physical records, and provides copies to the requester either electronically or in hard copy as needed
  • Assists in filing records and files

 

Minimum Qualification and Experience 

  • Associate Degree in Public Administration/Records Management or equivalent
  • Training in Records and Information Management Systems
  • At least 1 year’s experience in a Registry/Records Management

or

  • Four (4) GCE O’ Level or CSEC, including English Language and Mathematics
  • Training in Records Management Systems
  • Four (4) years’ related experience.
